Part-Time Front Desk Coordinator
Schedule: Part-time (weekday and occasional evening/weekend availability preferred)
Pay: Hourly $17-19/hr
We are seeking a proactive and organized Part-Time Front Desk Coordinator to support client communication, scheduling, and daily operations at our dog training facility. This is a client-facing role for someone who loves dogs and enjoys multitasking and organization.
Key Responsibilities:
Front Desk & Facility Operations

Maintain a clean, organized, and welcoming front desk and back room

Create and follow a weekly front desk task schedule
-
Clean and sanitize the training gym and equipment as needed
-
Organize retail displays and ensure the lobby and retail area are clean and presentable
Client Experience & Communication
-
Greet clients and dogs, ensuring a positive and professional first impression
-
Handle client communications including:
-
Scheduling and rescheduling appointments and classes
-
Package usage reminders and follow-up calls
-
Payment processing, refunds, and account questions
-
Vaccination verification and documentation
-
Call backs, client notes, and general inquiries
-

Support trainers by managing client flow, safety concerns, and communication follow-ups
Scheduling & Class Management
-
Schedule private sessions, group classes, and evaluations using Gingr
-
Input and maintain future staff schedules and instructor calendars
-
Create and manage future classes and class rosters
-
Monitor class enrollment and proactively work to fill open spots
Software & Administrative Duties

Use Gingr (point of sale system) for:
-
Email templates and client communications
-
Scheduling and calendar management
-
Retail sales and package tracking
-

Maintain accurate and up-to-date pet profiles, including:
-
Current photos
-
Vaccination records
-
Signed agreements and waivers
-
Retail & Inventory Management
-
Process retail sales and close out the cash drawer accurately
-
Track and manage inventory, retail products, and office supplies
-
Communicate restocking needs to management
Payroll & Staff Support

Assist with payroll preparation by:
-
Checking time clocks
-
Sending reminders to staff
-
Supporting instructor calendars and schedules
-
Marketing & Social Media Support
-
Assist with social media content creation and management
-
Capture photos/videos of classes and training sessions when appropriate
-
Help promote classes, workshops, and programs

Comfortable working around dogs of all sizes and temperaments
Preferred Experience:
-
Previous front desk, administrative, or customer service experience
-
Experience in pet care or animal-related business is preferred but not required
Physical Requirements:
-
Ability to stand, walk, and move throughout the facility
-
Ability to lift up to 40 lbs occasionally
-
Comfortable working in an active dog training environment
